Who we are

Matched X Singles organises padel speed-dating events. Contact hello@matchedxsingles.co.uk about your information, privacy requests or this policy. This policy covers the website, our sign-up list, enquiries, event bookings, guest profiles and matching, and event communications.

What we collect

Sign-up list. Signup requires your first name, email address, gender and age bracket. Event-email consent is optional. In new-events mode, choose at least one area you would go to; selecting an area is not marketing consent. Choosing to self-describe your gender requires a short description. After signup, nearest town and Instagram handle are optional; skipping them leaves your signup saved. Please keep free-text answers relevant and avoid sensitive personal details.

We record your consent choice, the wording shown with it, its date and time, your selected list and areas, record identifiers, creation and update times and signup source. A fresh signup saves a new submission without changing earlier details or consent; retrying the same submission does not save it twice. Contact enquiries contain your name, email and message; partner enquiries also include your brand, website or Instagram and idea. Both are handled separately from event marketing. If our confirmation email to you is interrupted, we keep only your email address, for no more than 23 hours, so we can send it; it is deleted once sent.

Event bookings. Tickets are sold through Ticket Tailor, and payments are taken by Stripe; card details go to them, not to us. We receive your name, email, ticket type and your answers to checkout questions, which we use to manage your booking, transfers, balanced courts and check-in on the day.

Guest profiles and matching. If you create a guest profile, we store your email, the events you sign up for, first name, gender (and description if you self-describe), mobile number, photo, an optional short line, your Instagram handle if you add it, which contact details you agree to share with matches, and your consent. We record whether your ticket is confirmed and whether you checked in, and, after the event, your Date, Friend or No choices and any resulting matches. Sign-in links are stored only as one-way codes and work once.

Security information includes IP addresses, request times and spam checks. Contact protection uses temporary keyed network hashes and submission identifiers. Our website host’s built-in analytics processes page URLs, titles, referrers, browser language, screen dimensions and website identifiers. Custom events count interactions and form outcomes using fixed labels, rather than submitted personal details. These data may still relate to a visitor.

Why we use your information

Event marketing emails and optional analytics (Google Analytics and Microsoft Clarity) use your consent. Signup requests one confirmation email even if you leave the event-email box unticked. Without that consent, we do not send later event marketing or an organiser signup alert. Event booking and mutual matching are separate steps: we use booking and profile details to run the event and the matching you signed up for.

We use enquiry details to respond and resolve questions, not to subscribe you to event marketing. Consent records support accountable list administration. The lawful bases for processing other than event-email consent and optional Google analytics have not yet been confirmed.

Who we share it with

Authorised organisers access the waitlist and may export it for event administration. Our website hosting provider, running on Google Cloud, provides hosting and database services. Resend processes contact enquiries and new-signup welcome emails when delivery is enabled. Microsoft 365 hosts the organiser mailbox and processes organisers’ correspondence. We share only information needed for those services.

While choices are open, guests whose tickets are confirmed and who attended the same event see each other’s first name, photo and short line; no contact details appear in the gallery. Contact details are shared only on a mutual match, and only the ones you chose. Nobody, including us, sees who chose whom: organisers see counts only. Organisers see profile email addresses and mobile numbers to check them against Ticket Tailor bookings. Ticket Tailor and Stripe process booking and payment details under their own privacy policies. Relevant information may also be disclosed to meet a legal obligation or address a safety concern. External services reached through links, such as Instagram, have their own privacy policies.

Where it's stored

Our sign-up list, guest profiles and photos are stored in PostgreSQL; hosting and email services also process information. Processing may include provider systems, backups and support access. We have not yet confirmed the processing locations or applicable international-transfer arrangements for these services. Contact hello@matchedxsingles.co.uk with questions about storage or transfers.

How long we keep it

Our retention policy is 24 months from receipt for waitlist details and contact enquiries. This period starts when we receive the details or enquiry, not from your last event or interaction. This is a retention policy, not a claim that scheduled deletion is in place.

Consent and unsubscribe evidence, delivery history, exports, logs, backups and provider-held copies are separate from this policy; their retention periods have not yet been confirmed. Unsubscribing stops event marketing while keeping your signup saved; erasure is a separate request. Email hello@matchedxsingles.co.uk to request erasure or ask about retention.

We aim to delete each event’s choices, matches and sign-in links once matches have been released and any questions are handled. Your guest profile and photo stay so you can reuse them for future events until you delete your profile on the profile page, which you can do at any time, or ask us to. Booking records are kept by Ticket Tailor and in our ticketing account for event administration and accounts.

Cookies

We use optional Google Analytics 4 through Google Tag Manager. Google scripts load only after you choose “Accept analytics” on our public .co.uk website. Rejecting does not affect signup, enquiries, booking or matching. Use “Analytics preferences” on any normal public page to withdraw: analytics is disabled, applicable first-party Google analytics cookies are cleared and the page reloads to unload Google scripts.

When enabled with consent, Google receives the page location without fragments or query strings, except standard campaign tags (utm_source, utm_medium, utm_campaign, utm_content, utm_term) that show which link brought you to us. It also receives the referrer origin (not its path) and fixed-name events: confirmed signup, enquiry sent, profile saved, ticket button clicked and booking completed. No form values, contact details, order details or editing/unsubscribe authority are attached. Events count actions, not unique people. Google may also process network and device information and cookie identifiers. Google keeps event-level analytics data for 14 months under our account setting; its storage locations and international-transfer arrangements are governed by Google’s terms and have not yet been separately confirmed by us. Advertising, Google Signals and identity tracking are not part of this setup.

Microsoft Clarity is loaded through the same Google Tag Manager container, so it also runs only after you choose “Accept analytics”. Clarity records how pages are used (clicks, scrolling and page movement, including session replays and heatmaps) so we can improve the website. Text typed into form fields is masked and not sent. Clarity does not run on the guest profile, choices or matches pages, or on private partner proposal pages. We tag recordings with the same fixed outcome names we count in Google Analytics (such as a ticket button being used), never form contents. Microsoft may process network and device information and cookie identifiers; Microsoft’s privacy statement explains how it handles this data. Clarity uses _clck and _clsk first-party cookies, set only after you accept and cleared when you withdraw.

Google analytics uses _ga and _ga_* first-party cookies, set only after you accept, lasting up to 13 months from your first accepted visit (they are not extended on later visits). A local-storage preference (matchedx_google_consent_v1) remembers your analytics choice until changed or browser storage is cleared. Unavailable preference storage means Google analytics stays off. These Google controls are separate from event-email consent and do not control the hosting analytics our website host adds independently.

matchedx_enrichment is a service cookie with a 30-minute lifetime for saving optional details after signup. It holds a random receipt, is restricted to the waitlist API and is cleared after a successful save. Hosting may also use cookies such as GAESA; its purpose, classification and lifetime have not yet been confirmed. The hosting analytics’ server-side processing and storage have not been verified. Fonts are served locally.

Your rights and how to complain to the ICO

You can withdraw consent using the one-click unsubscribe link in new welcome emails or by contacting us. Earlier lawful processing remains lawful. You may request access, correction, erasure, restriction and portability where applicable, and object to legitimate-interest processing or direct marketing. Email us to exercise your rights; we may request proportionate identity checks. You can also complain to the Information Commissioner’s Office (ICO).

LGBTQ+ event interest

We do not currently collect a separate LGBTQ+ event-interest preference. If we introduce this in future, it will need a separate explicit opt-in, distinct from general marketing consent, with a clear purpose, access controls and withdrawal arrangements. Joining the waitlist is not that opt-in.
